People assume a portfolio takes as long as it takes. In practice, the same three problems come up over and over — and all three are fixable once you can see them.
1. Not combining jobs
This is the big one. A boiler service and a repair carried out on the same visit are two jobs, not one. If that visit also turns up an At Risk situation, that is a third piece of evidence from the same doorstep. Trainees who treat every requirement as its own separate visit end up needing two or three times as many days as they actually need.
The fix is to plan evidence per visit rather than per requirement. Before you go out, know which job types are still outstanding, then look at what is actually in front of you on the day. One property can often cover several of them at once.
2. Not enough work to go round
Some engineers do not have the volume of jobs to fill a portfolio, or they do not take the trainee along to enough of the ones they do have. Either way the portfolio stalls, and it is usually months before anyone admits it is not working.
The fix is an honest conversation early. Ask what work is booked in over the next fortnight and whether it covers the job types you still need. If the answer is vague, the portfolio is not going to move, however willing everyone is.
3. Being kept on as free labour
A trainee who is useful on site is worth keeping on site. Some arrangements drag on for exactly that reason: the work keeps getting done and the sign-off keeps not happening. If the end date keeps moving and nobody can tell you what evidence is still outstanding, that is the sign.
The fix is to agree, in advance, what triggers sign-off: which evidence, for which jobs, by when. Where the required work has been done under the appropriate supervision, the sign-off follows the work. It is not a favour and it is not a reward for sticking around.
How to tell where you actually are
Get your training centre's requirements out and write two lists: the job types you have evidence for, and the ones you do not. Most people who feel stuck have never done this, and are closer to finished than they think. Others find they have twenty photographs of the same kind of job and nothing else, which is worth knowing now rather than at sign-off.
If you are not sure what the paperwork is asking for, start with what a gas portfolio is, then how long one should take.
Where we come in
We meet, go through your portfolio together, and work out how many jobs you still need and how long it is going to take. From there the work is planned around the evidence you are missing, rather than you waiting to see what comes up.
