What we do with your details.
Short version: we use them to review your portfolio and get back to you. We do not sell them and we do not share them with anyone who is not working on your enquiry.

Who is responsible
IOT Homes, trading as Gas Track Academy, is responsible for the personal information you send through this site. You can reach us at support@gastrackacademy.com, or on 020 7432 3868.
What we collect
Delivering the service involves more than the enquiry form, so this covers the whole picture:
- Your name, phone number and email address
- Your location or postcode
- Your training centre or provider, awarding body, programme and qualification, if you tell us
- How far you have got with your portfolio, and any on-site experience already completed
- What you are struggling with, and when you would like to start
- Any portfolio paperwork or checklist you upload
- Our correspondence with you about your enquiry and the service
- Booking and service records if you go ahead
- Payment and transaction records where applicable
- Portfolio evidence created during the service, including photographs and job records where these identify a person
- Server and security logs generated by the website
Everything on the enquiry form except your name, phone, email and location is optional. We do not use analytics or advertising cookies, and there is no tracking on this site.
Please avoid uploading unrelated personal information. Where you can, remove or redact customer details that we do not need in order to review your requirements.
Why we have it
We use it to:
- respond to your enquiry
- carry out the free suitability check
- take steps at your request before entering a contract
- provide the paid portfolio service, including the detailed review
- arrange and run placement activity on live jobs
- manage payments
- communicate with you about the service
- keep the business and accounting records we are required to keep
- administer and secure the website
Our lawful bases are: steps at your request before entering a contract for the suitability check and enquiry; performance of a contract once you go ahead; legitimate interests for proportionate administration and keeping the site secure — our interest being running the service properly and protecting it from abuse; and legal obligations for accounting and tax records. We do not rely on consent as a catch-all.
Where it is kept
Enquiries are stored in this site's database. Anything you upload is stored in a private area of the server, outside the public web root. Uploads are given a randomly generated filename, are not published, do not have a public web address, and can only be opened through an authenticated route after signing in. No system can be guaranteed completely secure, but access is restricted and controlled.
How long we keep it
We keep information only for as long as it is reasonably needed for the enquiry, delivery of the service, resolving any related issues and meeting applicable legal and accounting obligations. Portfolio uploads and evidence are removed when they are no longer needed for those purposes. If you would like yours deleted sooner, email us.
Who else sees it
Nobody, other than the people working on your enquiry. We do not sell personal information and we do not pass it to marketing companies. Our website hosting provider and our email provider necessarily handle it in the course of running those services. If we add a payment provider, this notice will be updated to name it.
Your rights
Under UK GDPR you can ask for a copy of what we hold (access), ask us to correct it, ask us to erase it where applicable, ask us to restrict how we use it, object to processing carried out on the basis of legitimate interests, ask for portability where applicable, and withdraw consent where processing genuinely relies on consent. Because we rely on legitimate interests for some administration and security, you have the right to object to that processing — tell us and we will consider it properly. Email us and we will sort it out. If you are not happy with how we have handled it you can complain to the Information Commissioner's Office at ico.org.uk.
